Privacy Policy

1. Overview
Ladwick Inc. ("Ladwick," "we," "our," or "us") operates an online learning management system ("Platform") designed for after-school programs, tutoring centers, and similar educational organizations ("Organizations"). This Privacy Policy describes how we collect, use, disclose, and protect information about individuals who access or use the Platform, including instructors, administrators, and students.
By using the Platform, you agree to the collection and use of information as described in this Policy. If you are an Organization, you agree on behalf of yourself and the individuals whose data you submit to the Platform. If you do not agree, you must discontinue use of the Platform.
2. Information We Collect
Instructor and Administrator Accounts
When an Organization creates an instructor or administrator account, we collect:
- Full name
- Email address
- Password (stored as a cryptographic hash; we never store plaintext passwords)
- Profile photo (optional, uploaded by the user)
- Company or organization affiliation
Student Accounts
Student accounts are created by instructors on behalf of their Organization. We do not collect information directly from students. The information collected for a student account is limited to:
- Full name
- Username (chosen by the instructor)
- Password (stored as a cryptographic hash)
- Academic performance data, including assignment submissions, scores, and attendance records
- Parent or guardian email address (optional, used solely to send absence notifications)
We do not collect dates of birth, home addresses, phone numbers, government identifiers, biometric data, or any financial information from students.
Usage Data
We may collect limited technical data to operate the Platform, including IP addresses, browser type, and session activity logs. This data is used solely for security, fraud prevention, and operational monitoring. We do not use it for advertising or behavioral profiling.
3. How We Use Your Information
We use the information we collect for the following purposes:
- Providing, maintaining, and improving the Platform and its features
- Generating AI-assisted educational content such as assignments, based on lesson materials uploaded by instructors
- Providing AI-generated analytics and insights to instructors regarding student performance within their classes
- Sending transactional emails, including account invitations, password reset links, and absence notifications to parents or guardians
- Responding to support requests and communicating about the Platform
- Detecting and preventing fraud, abuse, and security incidents
We do not use any user data for advertising, marketing campaigns, or sale to third parties. We do not build profiles on students for any purpose other than delivering the educational services described above.
4. Children's Privacy (COPPA)
The Platform is designed to be used by educational Organizations that serve minors. We take the privacy of children seriously and operate in compliance with the Children's Online Privacy Protection Act ("COPPA").
Student accounts are created exclusively by instructors or administrators acting on behalf of their Organization. Students do not self-register on the Platform. By creating a student account, the Organization (and the instructor acting on its behalf) represents that it has obtained any necessary consent from a parent or guardian as required by applicable law, including COPPA.
We collect the minimum information necessary to provide the educational service. We do not knowingly collect personal information directly from children under the age of 13 outside of the instructor-facilitated account creation process described above.
Parents or guardians who wish to review, correct, or request deletion of their child's information may contact us at hello@ladwick.com. We will respond to verifiable requests within 30 days.
5. Sharing and Third-Party Processors
We do not sell, rent, or trade personal information to third parties. We share data only with the following service providers, and only to the extent necessary to deliver the Platform:
Anthropic, PBC
We use the Anthropic Claude API to power AI-assisted features, including assignment generation and analytics insights. When these features are used, lesson content uploaded by instructors and aggregated student performance data (scores, submission rates, attendance) are transmitted to Anthropic to generate responses. Anthropic does not use data submitted through the API to train its models. Anthropic's privacy practices are governed by their Privacy Policy.
Resend
We use Resend to deliver transactional emails, including account invitations, password reset links, and absence notifications. Email addresses are transmitted to Resend solely for the purpose of delivering these messages. Resend's privacy practices are governed by their Privacy Policy.
We may also disclose information if required by law, court order, or governmental authority, or if we believe in good faith that disclosure is necessary to protect the rights, property, or safety of Ladwick, our users, or the public.
6. Data Storage and Security
All data is stored on servers located in Canada, hosted by Supabase (powered by Amazon Web Services). Data is encrypted in transit using TLS and encrypted at rest. Access to production data is restricted to authorized personnel only.
While we implement commercially reasonable security measures, no method of transmission over the internet or electronic storage is 100% secure. We cannot guarantee absolute security of your information.
7. Data Retention and Deletion
We retain personal information for as long as an account is active or as needed to provide the Platform. Specifically:
- Instructor and administrator accounts: retained until the account is deleted by the user or the Organization
- Student accounts and associated academic records: retained until the instructor or Organization removes the student or closes the account
- Upon deletion, personal data is permanently removed from active systems within 30 days
Organizations may request deletion of all data associated with their account by contacting us at hello@ladwick.com.
8. Your Rights
Depending on your location, you may have rights under applicable privacy law, including the right to access, correct, or delete your personal information. To exercise these rights, contact us at hello@ladwick.com. We will respond to verifiable requests within 30 days.
Instructors may update their own profile information directly within the Platform settings. Organizations may request the correction or deletion of student records associated with their account by contacting us directly.
9. Changes to This Policy
We may update this Privacy Policy from time to time. If we make material changes, we will notify affected users via email or a prominent notice within the Platform at least 14 days before the changes take effect. Continued use of the Platform after the effective date constitutes acceptance of the updated Policy.
We encourage you to review this Policy periodically to stay informed about how we protect your information.
